[LCBB] Volunteer & Donation Need for January Tournaments - Need ACTION by coaches

Coaches and team contacts:

Attached are forms and information to help you organize your volunteers and
donations for our January tournaments.  The PDF files contain all the
information, but I've also attached the source document in MS Excel in case
you prefer that format.

Please review the information and email or call me if you have questions.

All volunteer scheduling is the responsibility of the team coaches or parent
reps (for the high school teams).   We ask that you signup for a day and
gym.  Then within that timeslot, we ask that you schedule all the volunteer
positions.  The attached documents have a form to help you with this as well
as descriptions of all the jobs.

At our last meeting, a number of coaches signed up for volunteers slots.
I've noted those in the attached schedule.  Please review these and if you
have a problem covering the time I've noted - contact me.

We have arranged the game schedule so that our 4th, 5th and 6th grade teams
can volunteer on the weekend that their child plays.   We have also aligned
these teams with a non-playing team so that we have coverage during games.
We don't expect anyone to miss their child's game.

If you are not yet signed up, please let me know when your team would like
to work.  The attachments pertain to the first weekend (Jan 8/9), but the
schedule will be similar for the second weekend (Jan 22/23) - so you can
pick that weekend.

We are pretty well set for the first weekend.  We need a team or two to sign
up for end of tournament cleanup.  Its important that we have specific teams
signed up for this, because this tends to be the most difficult time to get
volunteers.  Those that have worked all day are anxious to leave, so we
don't want put this burden on them.

Here are the specific action items and dates for the COACHES:
-Email me now to let me know that you recieved this email
-Email me by Jan 5th with your team volunteer time slot preference
-Email or deliver me your team donation sheet by Jan 6th (if you are
volunteering on the first weekend) or by Jan 20th (if you are volunteering
for the second weekend)
-Deliver your donations to the Primary school between 3:30 and 5:30 on the
Friday of the weekend that you are donating
-Complete individual volunteer duty sheet by Jan 6th.  I don't need a copy
of this, but please have it competed on time and post a copy in the
concessions when you arrive to volunteer.

Once I have the team assignments, I'll update the master schedule and email
it out.

These documents as well as the game schedule and other documents will be
posted on the website: www.spartanbb.org.
